  • What is Enterprise Content Management (ECM)?
ECM is more than just archiving documents and information: On the one hand, it is the possibility of working efficiently with "living" documents in a centralized system. On the other hand, it allows you to find documents, data and information via full-text search, then associate them with processes and automate workflows. In business, Enterprise Content Management is the heart of the information system. It communicates with all third-party systems, makes it possible to dematerialize the processes in the various departments and offers technical extensions to meet all needs. In short, ECM is an intelligent information management system.
  • What is Optical Character Recognition (OCR)?
The OCR phase is the first step in understanding documents. Often associated with the simple transformation of image documents into office format (Word, Excel, etc.), we forget that OCR is also a key component during the digitization phases (automatic rotation of documents) of content identification (analysis prior to automatic recognition techniques).
  • What is Automatic Document Reading (LAD - RAD)?
To facilitate the automatic document instruction phases, in the documentary circuit (Workflow), LAD / RAD technology is used. This technique makes it possible, from models (structured documents, semi-structured documents, unstructured documents, etc.), to identify the content (RAD phase) and to extract the content according to the set rules. This LAD / RAD engine triggers the first Artificial Intelligence rules in the organization's management process: specific validation circuits according to content (invoice validation, etc.); communication rules according to the completeness of the files (bank file …) The capture allows to collect the data (Big DATA) and to structure them.
  • What is Document Management?
Document management is the set of processes, tools and techniques used to create, store, organize, protect, share and retrieve electronic and physical documents within an organization. Document management makes it possible to effectively manage documents throughout their life cycle, from their creation to their archiving or destruction, including their modification, validation and distribution. It also makes it possible to guarantee the security and confidentiality of the information contained in the documents by limiting access to authorized persons. Electronic document management systems (EDM - ECM) are examples of document management solutions. They allow physical documents to be digitized, stored in a database, accessed online, shared and modified simultaneously by multiple authorized users. GEDs also make it possible to quickly search and find documents thanks to advanced search and metadata management functionalities.
  • What is Data Capture?
Data capture is the process of collecting and recording data from different sources. Data can be captured from physical or digital sources, such as paper forms, electronic files, measuring devices, barcode scanners, surveillance cameras, IoT sensors, social networks, sites website... Data capture can be done manually or automatically using technologies such as optical character recognition (OCR), pattern recognition, barcode recognition (OBR), voice recognition, machine learning, semantic analysis... Once the data is captured, it is typically stored in a database or content management system for processing, analysis, and further use. Data capture is often used in data analysis projects, business process automation, information management, regulatory compliance monitoring...
  • What is OBR?
OBR - Optical Barcode Recognition is a technique used to read and interpret barcodes from a scanned image. Barcodes are symbols that represent information in the form of lines and spaces of different widths and thicknesses. OBR uses image processing algorithms to detect the lines and spaces that make up the barcode in a scanned image. Once the lines and spaces are identified, the algorithms convert this information into numerical data, which can be used to identify the product or item associated with the barcode. OBR recognition is widely used in inventory tracking and management applications, logistics, e-commerce, product distribution, and many other areas. This technology helps automate data entry, increase inventory management efficiency and accuracy, reduce human error, and improve customer satisfaction.
  • What is the ICR?
ICR (Intelligent Character Recognition) is a character recognition technology that uses artificial intelligence algorithms to recognize and interpret handwritten or printed characters similar to how a human does. Unlike Optical Character Recognition (OCR) which is designed to recognize only printed characters, ICR is designed to recognize both printed and handwritten characters. The ICR is also able to recognize individual handwriting styles and adapt to the variation in quality of scanned images. ICR is used in many applications, such as document scanning, bank check recognition, form recognition, data entry, transcription of handwritten texts... ICR reduces the costs and errors associated with manual data entry, automates data processing processes, and improves the speed and efficiency of data processing operations.< /p>
  • What is Dematerialization?
Dematerialization is the process of converting documents and information in paper format into digital format. It involves the digitization of documents and the conversion of their content into electronic data stored in a computer system. Going paperless reduces or completely eliminates the use of paper documents in business processes. This can include scanning invoices, contracts, payslips, newsletters, reports, patient records, and many other types of documents. Once digitized, these documents can be stored electronically in content management systems or electronic archives. Going paperless offers many benefits, including reducing the cost of storing and handling physical documents, reducing the cost of managing records, improving the efficiency and productivity of business processes, reducing errors and delays, and improving information accessibility and security. Paperless is often used in government organizations, businesses, healthcare facilities, financial institutions, and other organizations that need to manage and process large amounts of documents.
  • Photocopier or scanner? What is the most suitable solution?
The choice between a scanner and a photocopier (MFP), also called multifunction, depends on the scanning objective. If the purpose is to digitize documents in such a way that they are easily accessible and stored in electronic form, then a scanner is the appropriate choice. If the goal is to make a hard copy of an existing document, then a photocopier is the appropriate choice. Scanners are specially designed to scan documents, pictures and other media, and offer advanced features such as double-sided scanning, double-feed detection (to prevent 2 pages from being taken at the same time ) text recognition and high resolution scanning. The scanners are also designed to handle high volumes of scanning. Copiers, on the other hand, are designed to produce hard copies of existing documents. Although they can also scan documents, they are generally not equipped with the same advanced features as scanners. If the scanning quality may be lower, the photocopier may present a risk in the correct picking up of the documents (no sensors / double entry detector). Thus he can "swallow" several pages at the same time, without alerting the operator and thus altering the paper image & electronic image conformity. Ultimately, if the goal is to scan documents for electronic storage, a scanner is the best choice due to its ability to produce high quality images and handle high volumes of scanning. If the goal is simply to make a hard copy of an existing document, a photocopier may be the most appropriate choice.
  • What is the difference between GED and ECM?
EDM (Electronic Document Management) and ECM (Enterprise Content Management) are two different concepts although they are related and sometimes used interchangeably. EDM primarily focuses on electronic document management. It allows you to capture, store, organize and find electronic documents such as PDF files, Word documents, images, etc. It also allows you to manage workflows and version documents. EDM aims to reduce paper and streamline business processes by automating electronic document management. ECM, on the other hand, is a broader concept that encompasses EDM and other technologies such as web content management, archive management, email management, business process management, etc ECM is a comprehensive information management strategy that aims to optimize all of the company's information-related processes, regardless of their form (paper or electronic), their origin or their destination. ECM aims to improve business efficiency and productivity by enabling faster and more efficient management of all business information. In sum, EDM is a part of ECM that focuses on electronic document management, while ECM is a comprehensive information management approach that includes electronic document management, but also other types of information and content.
  • What is file versioning?
File versioning / versioning is the process of tracking changes to a file over time (the act of creating versions). Each time a file is modified, a new version is created and saved. File versioning is often used in document management systems and version control systems to manage changes to documents and to keep a history of previous versions. File versioning helps track changes made to a document, who made the changes, and when they were made. This makes it easier to collaborate and allows you to restore previous versions when needed. When a file is versioned, each version is usually associated with a version number or revision code. Files can be backed up automatically whenever changes are made, or users can choose to manually create a new version when making significant changes. File versioning is commonly used in software development environments to track source code changes, but it is also used in other areas such as project management, document management, graphic design and many more.
  • What is the dematerialization of invoices?
Invoice dematerialization is the process of converting paper invoices into electronic invoices (or e-invoices). It consists of eliminating the manual and paper processes related to invoicing by automating the invoicing flow, from creation to sending and payment. Electronic invoices are structured documents in an electronic format (PDF, XML, EDI) that can be generated and sent via computer systems such as invoicing software, supplier portals, e-mail services or online invoicing platforms. The dematerialization of invoices has several advantages: Cost reduction: Sending and receiving electronic invoices is faster, less expensive and less prone to errors than paper invoices, which reduces the cost of printing, postage, management and storage. Improved productivity: the dematerialization of invoices makes it possible to automate the invoicing process, thus reducing the administrative workload related to invoicing. Increased security: electronic invoices are stored on secure servers, guaranteeing data confidentiality and reducing the risk of loss or theft of paper documents. Compliance with regulations: the dematerialization of invoices is often encouraged or required by the tax authorities to guarantee the traceability and security of commercial transactions. In short, the dematerialization of invoices offers a more practical and efficient alternative to traditional paper invoicing.
