ADOC Solutions offers its office service for your document processing needs. The missions of the office services cover digitization needs for electronic archiving, but also content recognition needs.

The missions of ADOC Solutions on the digitization service are not limited to the single digitization stage.

Indeed, the office service covers all expectations (document handling, preparation, digitization, indexing, restitution, etc.) and provides a methodology for document processing.

Once the processing has been carried out, the documents can be returned or destroyed… depending on the expectations initially communicated.

 

ADOC Solutions, thanks to its solutions in cloud mode, allows the implementation of hybrid services, where the phases of digitization, indexing, classification, etc. can be physically separated.

Document Support

Any document scanning service project begins with a document collection and processing phase. ADOC Solutions, through its experienced collaborators, carries out a first phase of inventory before taking charge. This essential step guarantees the volumes of documents supported.

Document preparation

Depending on the nature of the documents, prior preparation is required. This phase consists of homogenizing the documents to allow mass digitization. The documents are thus laid flat, all the bindings are removed: staples, paper clips, etc. Dividers are inserted to facilitate post-digitization reshaping.

Scanning of documents

Once the documents are homogeneous, the teams carry out the digitization. All pages go through a production scanner. The dedicated scanning tools ensure perfect reliability in the creation of images. Specific image processing is carried out during the digitization, to optimize its use.

And after scanning?

Once the digitization (and the other associated services) has been carried out, several scenarios are run for the original media.

 

These provisions are specific, per project and according to the legal obligations relating to the

documents concerned:

  • Formatting of documents according to the original assemblies,

  • Physical archiving of documents,

  • destruction of documents,

  • Exit inventory,

  • Return of documents,

And the pictures?

After scanning, several processes can be performed on the files:

  • Compression of pdf files: (allows you to reduce the size of pdf files by more than 20 times, without altering the quality of consultation and printing),

  • OCR transformation: processing by an OCR server to offer, within the pdf file itself, the text layer of the document,

  • Simple indexing: classification of documents in folders and naming of files according to defined rules,

  • Full indexing: classification of documents with an association of index files (csv, xml, etc.) according to defined rules,

 

The indexing phases can be manual or automatic depending on the documents to be processed. Some processing is subject to pre-digitization indexing (LAD/RAD technologies with templates developed by ADOC Solutions), reducing computer input times.

Data extraction

Once the documents have been scanned, the data can be extracted:

  • checkboxes,

  • typed data,

  • Handwritten Data (comments...),

  • Barcodes,

  • Pictures,

  • …

Quality Services

Quality control is carried out for each service:

  • On the basis of sampling, images and indexes are checked,

  • Business rules are applied to metadata to simplify indexing actions,

 

The images are digitized with the latest technological tools (Software & Hardware) with the following options:

  • 300 dpi scanning,

  • Automatic framing according to formats,

  • deletion of blank pages with management of initials of blank pages,

  • Traceability of actions taken by users (important concept for the GDPR)

  • Ultrasonic double-pick detection, ensuring that no document will have its exact digital equivalent after scanning (also important for GDPR)
